What this policy covers

This policy applies to information we collect through the Services, including when you create an account, use coaching tools, upload documents, and communicate with Support.

If you use third-party integrations or external links, their privacy practices apply to those services.

Information we collect

  • Account information: email address, authentication identifiers, and basic account settings.
  • Profile information you provide: name, coaching background, school/program, certifications, business details, preferences, and other information you enter in Settings.
  • Content and files: messages you send, and files you upload (for example documents for analysis or vault storage). If you upload audio, we process it to provide the requested feature and may store it for a limited retention period.
  • Usage and device data: approximate device/browser information, pages/actions taken in the app, timestamps, and error logs. This helps us keep the Services reliable and secure.
  • Payment and billing: if you upgrade to a paid plan, billing is handled by our payment processor. We receive limited billing details (such as customer/subscription identifiers and plan status) necessary to provide access and manage your subscription. We do not store full payment card numbers.
  • Cookies and similar technologies: we use cookies necessary for authentication and basic site operation. We may use additional cookies for analytics if enabled. You can control cookies through your browser settings (note: disabling essential cookies may affect sign-in).

How we use information

  • Provide, operate, and improve the Services (including personalization you request).
  • Authenticate users, prevent fraud/abuse, and maintain security.
  • Process uploads and generate requested outputs (e.g., summaries, study aids, coaching support tools).
  • Manage subscriptions, billing status, and plan entitlements.
  • Communicate with you about account notices, support requests, and service updates.
  • Comply with legal obligations and enforce our Terms.

How we share information

We do not sell your personal information.

  • Service providers: we use trusted vendors to host the app, store files, authenticate users, and process payments. They process data on our behalf under contractual obligations.
  • Legal and safety: we may share information if required by law, to respond to lawful requests, or to protect rights, safety, and security.
  • Business transfers: if we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction (subject to this policy or a successor policy).

AI and automated processing

Some features may use automated processing to generate outputs based on the content you provide (for example, summaries or structured reports). We design these features to follow your instructions and support the intended use of the Services. Please avoid submitting sensitive information you do not want processed.

Data retention

We retain information only as long as needed to provide and improve the Services and to comply with legal and billing obligations. Retention depends on the type of data and how it is used.

  • Account/profile: retained while your account is active.
  • Uploads: retained until you delete them, reset data, or delete your account (subject to any required legal retention for billing/security).
  • Audio uploads (if applicable): may be deleted automatically after a retention window.

You can request deletion of your account and associated data using in-app Settings (Danger Zone) or by submitting a support ticket.

Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing.

  • Update many profile settings directly in the app.
  • Delete uploads and conversations where the feature is available.
  • Delete your account via Settings (Danger Zone) or submit a support ticket.

We may need to verify your identity before fulfilling certain requests.

International data transfers

We may process and store information in countries other than your own. When we transfer information internationally, we take steps designed to provide an appropriate level of protection under applicable law.

Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact Support.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy and update the “Last updated” date. Your continued use of the Services after an update means you accept the revised policy.
